A supplier in Mexico sends a quote, a university in Chile sends a transcript, a landlord in Madrid sends a lease. You need it in English, and you need it to still look like the document it is. The Translate PDF tool writes the English into the page itself: same letterhead, same table, same place for each paragraph, with a draft to review first.

The recording below is a real run on an invented quote from a made-up web studio in Mexico City. Only the wait for the AI is shortened.

A Spanish quote from Mexico translated into English in GenPDF: the draft reviewed, then applied to the page
A real run on an invented quote. The wait for the AI is shortened; the rest is at real speed.

What happened in the recording

The panel found 21 paragraphs and showed about how many credits they would take before anything was sent. In the draft, 17 paragraphs were written in English and 4 were left as they were. Then one click applied the draft.

  • "Cotización n.º 2026-064" became "Quotation No. 2026-064", and "Ciudad de México, 9 de octubre de 2026" became "Mexico City, October 9, 2026".
  • "Estimada Sra. Morales:" became "Dear Ms. Morales:". The colon after the greeting is Spanish usage and also correct in a US business letter.
  • The price table kept its columns. $18,500.00, $32,000.00 and the total of $56,500.00 are the same figures in the same places.
  • "Los precios no incluyen IVA" became "Prices do not include VAT".

Spanish from Mexico, Spain and everywhere else

Spanish is written differently from one country to the next, and that matters less than you might think for translation. It matters more for the numbers.

In the documentMexico and much of Latin AmericaSpain
An amount$18,500.0018.500,00 €
A date9/10/2026, day first9/10/2026, day first
A computercomputadoraordenador
A mobile phonecelularmóvil

The words are understood either way. The numbers are never rewritten: a paragraph whose numbers or amounts would change is not written at all, so the amounts stay as the source printed them. A Mexican amount already reads like an English one. A Spanish one keeps its decimal comma, and a date in digits keeps its day-first order, so 9/10/2026 is still 9 October. If your reader expects US formats, change them by hand afterwards with Edit text.

Identifiers such as an RFC or a CURP on a Mexican document, a NIF on a Spanish one, or a case number, are codes and not words. They stay as they are.

How to translate a Spanish PDF into English

1. Open the Spanish PDF

Open the Spanish PDF on the Translate PDF page. The editor opens with the AI panel on Translate. The AI needs a free account with a confirmed email address.

2. Pick English and your terms

Pick the pages and English, add the terms your company always uses to the glossary, then choose Translate and agree to send the text. The glossary takes one term per line, Spanish first:

cotización = quotation
anticipo = advance payment
IVA = VAT

3. Read the draft

Read the draft line by line before your document changes. Fix any line, then choose Apply to document. English is usually a little shorter than Spanish, so paragraphs fit their space easily. A paragraph that would not fit even set at 70% of its size is left in Spanish and marked instead of being squeezed.

4. Save the English PDF

Scroll through the page once more and download the PDF. The fonts are the document's own where they have the letters, and the Reading view gives the whole translation as flowing text if you would rather paste it into an email. Undo takes the whole translation back in one step.

What is sent

Only text, and only after you agree: the text of the chosen pages goes through GenPDF's server to Anthropic, which runs the AI model. The PDF file, its pictures and its name are not sent, and GenPDF keeps neither the text nor the translation. The security page has the details.

Check it yourself

  • Compare each amount, quantity and date with the Spanish original.
  • Look at the greeting and the closing line: "Quedamos a sus órdenes para cualquier duda" has several good English versions, and you may prefer another.
  • Check the names of people and places. "Ciudad de México" becoming "Mexico City" is right; a street name usually stays in Spanish.
  • Search the saved PDF for an English word to confirm it is real, searchable text.

Limits

  • A machine translation to review, not a certified translation.
  • A scanned page is skipped; the others are translated.
  • A paragraph that does not fit at 70% of its size stays in Spanish and is marked.

For a French document, the same steps are shown in translating a French PDF to English. For only a few pages of a long file, see translating selected PDF pages.

Recorded on 27 October 2026 with GenPDF on an invented quote; the studio, the client and the amounts are made up. Written with AI assistance.

Frequently asked questions

Does it handle Latin American Spanish as well as Spanish from Spain?

Yes. The translation reads Spanish from any country, so a quote from Mexico, a contract from Colombia or a certificate from Argentina goes into English the same way. Regional words such as computadora or ordenador are both understood.

Will the amounts change?

No. A paragraph whose numbers or amounts would change is not written, so $18,500.00 in a Mexican quote or 18.500,00 € in a Spanish one stays exactly as it was.

Is my PDF uploaded?

No, the file is not uploaded. After you agree, only the text of the chosen pages goes, through GenPDF's server, to Anthropic, which runs the AI model. The PDF file, its pictures and its name are not sent, and GenPDF keeps neither the text nor the translation.

Can it translate a scanned Spanish document?

Not in place. A scanned page is a picture of words, and a translation cannot be written over a picture. The other pages of the same PDF are still translated.

Can I use it for official documents?

To understand them and to prepare a draft, yes. A birth certificate, a diploma or a court paper that must be filed abroad usually needs a certified translator, and a machine translation does not replace one.
